Refund & Cancellation Policy

At Sotros Infotech, we are committed to delivering exceptional performance marketing services. This policy outlines our refund and cancellation procedures for various service types. We encourage you to review this policy carefully before engaging our services.

2. Service Categories

Our services fall into the following categories, each with specific refund terms:

  • One-Time Projects: Strategy audits, setup fees, campaign launches
  • Monthly Retainers: Ongoing management and optimization services
  • Ad Spend: Media budget allocated to advertising platforms
  • Custom Development: Funnel builds, automation systems, integrations

3. One-Time Project Refunds

Before Work Begins

If you cancel before any work has commenced, you are eligible for a full refund of project fees, minus any third-party costs already incurred.

After Work Begins

Once work has commenced:

  • Refunds are prorated based on work completed
  • Discovery and strategy phases are non-refundable once delivered
  • You will receive all completed work and documentation

4. Monthly Retainer Cancellation

Cancellation Notice

Monthly retainer services require 30 days written notice for cancellation. This allows us to:

  • Complete any in-progress optimizations
  • Prepare comprehensive handover documentation
  • Transfer campaign access and assets
  • Provide final performance reports

Refund Eligibility

Monthly retainer fees are non-refundable for the current billing period. If you cancel mid-month, services continue through the end of the paid period.

5. Ad Spend Policy

Advertising spend is handled directly by advertising platforms (Meta, Google, etc.) and is subject to their respective refund policies.

  • Unspent ad budget can typically be paused or refunded by the platform
  • Spent ad budget is non-refundable
  • We can assist with platform refund requests when applicable
  • Ad spend prepayments to Sotros Infotech (if any) are refundable for unused amounts

6. Custom Development Projects

For custom funnel builds, automation systems, and technical implementations:

  • Deposits are non-refundable once discovery phase begins
  • Milestone payments are due upon delivery of each phase
  • Final payments are due before launch/handover
  • Partial refunds may be available for incomplete milestones

7. Satisfaction Guarantee

While marketing results cannot be guaranteed due to external factors, we are committed to:

  • Delivering the scope of work outlined in your agreement
  • Providing transparent reporting and communication
  • Making good-faith efforts to address concerns
  • Working with you to optimize underperforming campaigns

If you're unsatisfied with our work quality (not results, which we cannot control), please contact us within 14 days to discuss resolution options.

8. How to Request a Refund

To request a refund or cancellation:

  1. Email billing@sotrosinfotech.com with your request
  2. Include your company name and service details
  3. Provide reason for refund/cancellation
  4. We will respond within 3 business days
  5. Approved refunds are processed within 10 business days

9. Exceptions

Refunds are not available in the following circumstances:

  • Platform policy violations caused by client content or products
  • Account suspensions due to client actions
  • Scope changes requested by the client
  • Delayed approvals or feedback affecting timelines
  • Performance expectations not meeting unrealistic projections

10. Chargebacks

We encourage clients to contact us directly before initiating chargebacks. Chargebacks initiated without attempting resolution may result in immediate service termination and collection actions for legitimate charges. We maintain detailed records of all work performed and deliverables provided.

11. Policy Updates

We may update this policy periodically. Changes will be posted on this page with an updated effective date. The policy in effect at the time of your purchase or renewal applies to that transaction.
